Payment & Refund Policy

Effective date: 9 October 2026  ·  Version 1.0  ·  KDMT, LLC

This policy sets out how we invoice, what happens if a payment is late, and when money is refundable. It forms part of our Terms of Service. A signed project agreement prevails where it says something different.

1. Currency and prices

All prices and invoices are in US dollars (USD). Prices published on this website are indicative starting points for typical scopes; the binding figure is the one in your signed proposal.

Our fees exclude third-party costs such as hosting, domains, paid APIs, store or platform fees, stock assets and payment-processor charges. We list these separately before you commit, and you normally pay them directly to the provider so the accounts stay in your name.

You are responsible for any bank charges, currency conversion costs and any taxes, duties or withholding applicable in your own country. Invoiced amounts are net of those.

2. Payment schedule

Fixed-price projects are split into milestones. Our standard structure is 40% to start, 40% at the mid-project demo and 20% on delivery, though the signed agreement may set a different split for larger scopes.

Retainers are invoiced monthly in advance. Time-and-materials work is invoiced monthly in arrears against a timesheet.

Invoices are due within 14 days of the invoice date unless stated otherwise.

3. How to pay

We accept international bank transfer (ACH or SWIFT), Wise, Payoneer and card payment through a payment processor. Payment details appear on each invoice. We do not accept cryptocurrency as payment for services, and we never request payment to an account other than the one on the invoice — if you receive such a request, it is fraudulent; contact us before paying.

4. Late payment

If an invoice is more than 7 days overdue we may pause work and withhold delivery of unpaid milestones. We will always warn you in writing first. Overdue amounts may attract interest at 1.5% per month, or the maximum allowed by law if lower, from the due date until paid.

Intellectual property in deliverables transfers to you on full payment. Until then you have no licence to use unpaid deliverables in production.

5. Deposits and cancellation

The initial deposit reserves your slot in our schedule and is non-refundable once work has started, because we turn down other work to hold that time.

If you cancel mid-project, you pay for all work completed up to the cancellation date plus any costs we have already committed on your behalf. Anything you have paid for beyond that is refunded within 14 days. We hand over all work produced and paid for, in a usable form.

If we cancel for any reason other than your material breach, we refund everything paid for work not yet delivered and help you transition to another provider at no extra cost.

6. Refunds

We do not offer refunds simply because you changed your mind about a project after it was delivered to specification, or because a commercial outcome did not materialise. We cannot control your market, your marketing or platform algorithms, and we never promise business results.

We do refund where we failed to deliver. Specifically:

  • If we cannot deliver an agreed milestone at all, the amount paid for that milestone is refunded in full.
  • If a delivered milestone does not materially conform to the agreed specification and we cannot fix it within a reasonable period after you tell us, that milestone is refunded.
  • If we have to withdraw from the project through no fault of yours, everything paid for undelivered work is refunded.

Refund requests should go to hello@ko-ko.dev with the invoice number and what went wrong. We respond within 10 business days and pay approved refunds by the original payment method within 14 days of approval.

7. Warranty period

Each project includes a warranty period stated in the signed agreement — typically 30 days, and 90 days on larger scopes. During it we fix, free of charge, anything that does not work as specified.

The warranty does not cover new features, changes you request after acceptance, problems caused by changes made by you or a third party, or failures of third-party services outside our control.

8. Changes to scope

Work outside the agreed scope is quoted separately before it starts, as a fixed add-on or at our hourly rate. We will not do unquoted extra work and then invoice you for it.
